One approved mandate and one accountable delivery plan

Administration begins with an approved brief, not the first invoice or a candidate name. The record identifies the contracting entity, employer model, role or project scope, decision makers, financial authority, milestones and evidence needed to start. A KAM consolidates the demand register, dependencies, commercial assumptions and escalation contacts so the client can see which decisions affect the plan.

The mobilisation file distinguishes client instructions, employment decisions and authority requirements. Missing information is returned with an owner and due date; a critical worker, safety or wage issue is acted on immediately rather than waiting for a complete routine form. Version control links each approved change to the live scope and roster.

Coordinate the employment record and the client assignment

Where employment administration is included, the record connects the approved offer and contract to work authorisation, insurance, start date, assigned location, reporting lines and payroll. Joining, transfers, salary changes, leave, renewals, assignment extensions and separation each require an authorised effective date and supporting evidence.

The client confirms work and factual time through the agreed supervisor, while the employing entity controls the employment actions assigned to it. Permit and insurance expiries, site access, worker queries and change requests remain visible in an exception register. The employee has a named contact and a private route for concerns.

Keep the wage control separate from invoice recovery

The account calendar establishes time and variable-pay cut-offs, independent payroll checking, client approval interfaces, funding, salary-file submission and reconciliation. A change to bank details or pay requires an authorised request and independent verification. The employer’s wage obligation is managed against the applicable deadline even where a client invoice, purchase order or timesheet dispute remains open.

Billing then reconciles the contracted rates, approved headcount or hours, joiners and leavers, included benefits, pass-through charges and authorised adjustments. The account review separates a commercial discrepancy from an employee entitlement. Both receive owners and evidence, with escalations appropriate to the risk.

Review the exceptions and close the actions

The proposed monthly account review covers recruitment progress, deployment readiness, attendance and payroll exceptions, permits, insurance, worker welfare, service requests, commercial changes and planned demand. A dashboard defines the population, source, reporting date and measurement method so a percentage or count can be interpreted correctly.

Actions are assigned to named client and Tawreed owners with a due date and closure evidence. Serious safety, wage, immigration or data issues bypass the monthly cadence and follow immediate escalation. Repeated failures require root-cause review and a verified corrective action, while a scope change is approved through the commercial authority matrix.

Account governance

A named owner at every decision level.

The hierarchy below is an engagement design drawn from the operating policy, not a statement of the number of staff currently employed. Roles may be combined on a small account only where segregation of duties, worker access and necessary expertise remain effective; larger or higher-risk programmes require an appropriate on-site and specialist structure.
